Assets in more than one profile: where an asset shows up

An asset belongs to the person who added it and can be in any number of profiles. All Assets shows everything you can see; a profile's view shows the assets in that profile, in that profile's folders.

Every asset has one owner (the person who added it) and can belong to several profiles at once: the band, the hire company, your family. Being in a profile is what lets that profile's members see it and use it in their packs and trips.

Where an asset shows up

  • All Assets (the switch on the Assets page): everything you can see. Your own assets, plus other people's assets in the profiles shared with you (and on trips shared with you with their assets).
  • A profile's view: only the assets in that profile, filed in that profile's folders. Each profile files an asset independently.
  • The Members filter tells whose assets you're looking at; an asset's card says "Owned by …" when it isn't yours.
  • Packs and stops: the sheets for adding assets list the profile's assets in its folders.

iPhone app

Put an asset in a profile:

  1. When you add it: in New Asset, the Profiles row starts with the profile you're in. Tap Select Profiles to tick more.
  2. One existing asset: open Edit Asset, tap the Profiles row, tick or untick profiles, then Done and Save.
  3. Several: press and hold a tile, Select Multiple, tick them, then Profiles in the bar at the bottom, flip the profiles and Apply.
  4. An empty profile: its page offers + Assign Asset, which lists all the assets you own with a tick for each one already in the profile. Tap to put one in or take it out; Select All ticks everything shown.
  5. A whole folder: press and hold the folder and choose Assign to Profile. Its assets join the other profile in a folder of the same name.

Take an asset out of a profile: press and hold it and choose Remove from <profile> (or untick the profile in Edit Asset). It leaves that profile only; it stays in All Assets and in any other profile. Deleting is different: see Delete an asset, or remove it from a profile.

The same routes: the Profiles row on the asset form, Select then Profiles, + Assign Asset on an empty profile (with search and a Categories menu), Assign to Profile on a folder, and Remove from <profile> in a tile's ··· menu, which offers Undo afterwards.

Good to know

  • Adding to a profile needs editor, admin or owner access there. The Profiles list says "You aren't an editor here" on profiles you can only view, and "Tagged — you can't untag" where you can't take someone else's asset out. An owner can always take their own asset out of any profile.
  • Duplicating an asset puts the copies in the same profiles as the original (the ones you can edit).
  • Your private items stay hidden from other members whatever profile they're in (see Private items: hide an item from other members).
  • A trip shared on its own, with its assets, shows that profile's assets on those trips only (1.0.1). Shared without its assets, the profile's view says "Assets aren't shared with you" and who to ask.
  • The Home page's Overview counts the assets in the profile.
